The Association of Occupational Health Professionals in Healthcare (AOHP) is committed to protecting your privacy and any personal information that we collect and process. Our goal is to provide you (or any entity on whose behalf you are accessing our website - www.aohp.org) with the most powerful and safe online experience. This Statement of Privacy documents our privacy practices with regard to the information we collect when you interact with our website and services.

 

Acknowledgement of AOHP's Statement of Privacy

Voluntary Collection of Your Personal Information

AOHP collects personally identifiable information, which includes, but is not limited to, your name, email address, home or work address, telephone number, date of birth, employer, job title and credentials, education, username and password. We will collect personal information when you request us to contact you via mail, e-mail, or telephone to provide information, updates, or promotions about our services. AOHP also collects anonymous demographic information that is not unique to you, such as your ZIP code, age, gender, preferences, interests, and favorites.

 

AOHP uses the personal information you are asked to provide (including whether its provision is mandatory or not) to facilitate your access, purchase, use, and/or participation in our service offerings. These services include:

  • Membership.
  • Conferences and events.
  • Educational programs.
  • Online forums.
  • Chapter resources.
  • Volunteer opportunities.
  • Advocacy efforts.  
  • Publications (online and printed).
  • Professional development/career services.
  • Surveys.
  • Any other services and products that are updates or extensions to our services or that relate to other member benefits.

 

Members/customers sometimes have the option to purchase AOHP services through the completion of online ordering. We will request personal contact information and financial information on the order forms. This data is used to provide our services, and to inform you of any new services or information that we think will be of interest to you. Financial information is used only to bill for any AOHP services that have been purchased.

 

If you choose not to provide us with your personal information, you may not be able to enjoy certain components of our services.

 

Use of Your Personal Information

AOHP may use your personally identifiable information to:

  • Effectively operate the AOHP website.
  • Provide information for and ensure fulfillment of requested services/member benefits.
  • Contact you to conduct research surveys about your opinion of current or potential new services, or about your occupational health practice.
  • Prepare invoices and process payments.
  • Inform you of other products or services available from AOHP.
  • Facilitate and track attendance/participation at the AOHP National Conference and/or other educational events (both in person and virtual).
  • Respond to communications from you.
  • Tailor services specific to member needs, and to help manage our relationship with you.
  • Fulfill our obligations/enforce our rights arising from any contract entered between you and us.
  • Perform any other legitimate purpose reasonably consistent with your membership/partnership.

 

AOHP keeps track of the pages our customers visit within AOHP to determine which services are the most popular. Data may be used to deliver customized content and advertising within our website to customers whose behavior indicates they are interested in a particular subject area.

 

Third Party Vendors

AOHP may use third party vendors to provide: administrative/ operational services; data processing; membership services; marketing and communication services; meeting management services; website hosting services; membership database services; credit card processing; conference registration; and processing of personal information as required by some partners and services, we must share your contact information so that the third party can provide the service. Third party vendor services that are included or used as part of AOHP services have their own privacy policies and practices, for which AOHP has no control or responsibility. We will provide you with links to third party vendor websites upon your written request.

 

AOHP does not sell, rent, or lease its customer lists to third parties. We will not disclose or share personally identifiable information with third parties without your permission except when necessary to provide resolution to a service request, to comply with federal or state law or subpoenas, or to comply with liquidation or mergers and acquisition-related activities.

 

AOHP may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, your unique personal information (email, name, address, telephone number) is not transferred to the third party. In addition, AOHP may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries. All such third parties are prohibited from using your personal information except to provide these services to AOHP, and they are required to maintain the confidentiality of your information.

 

Other Members/Related Organizations

Other members/customers of AOHP may receive elements of your personal information as part of a membership directory, through collaborative portals such as the ListServ, or if you sign up to attend the National Conference or other AOHP-sponsored events. We are not responsible for the use or misuse of your personal information by other members. In addition, organizations such as National Conference exhibitors, sponsors, and advertisers may receive membership lists or event attendance lists that include your full name, address, company name, and email address. We are similarly not responsible for the use or misuse of your personal information by these organizations. 

 

Disclosing Personal Information

AOHP does not use or disclose sensitive personal information, such as race, religion, or political affiliations, without your explicit consent.

 

AOHP may disclose your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process (subpoena or court order) served on AOHP or the website; (b) protect and defend the rights or property of AOHP; (c) act under exigent circumstances to protect the personal safety of users of AOHP's website or the public; (d) or provide assistance with internal or external investigations, upon request. We may disclose your information in connection with the sale or merger of AOHP or any transaction that involves the sale or assignment of some or all of our assets.

 

In general, AOHP will use the personal information we collect from you only for the purposes described in this Statement of Privacy or for purposes that we explain to you at the time we collect your personal information. However, we may also use your personal information for other purposes that are not incompatible with the purposes we have disclosed to you (such as archiving purposes in the public interest, research purposes, or statistical purposes) if and where this is permitted by applicable data protection laws.

 

If you directly disclose personal information or personally sensitive data through AOHP public message boards, this information may be collected and used by others. AOHP does not read any of your private online communications. We encourage you to review the privacy statements of websites you choose to link to from AOHP so that you can understand how those sites collect, use, and share your information. We are not responsible for the privacy statements or other content on websites outside www.aohp.org.

 

Automatically Collected Information

AOHP may use any number of tools to collect information about you, your computer access points, and the web browser you use to connect to our website. Information about your computer hardware and software is automatically collected by AOHP. The AOHP website may use cookies, web beacons, image markers, and other tracking software to: help us ascertain the effectiveness of our products, services, and marketing programs; allow us to customize the services offered on or through our website; and help us determine the best use for website content, and product and service offerings. We may use aggregate statistical information to modify our services or improve the usability of our website. Aggregated information will not contain any individual information that can be linked directly back to you. AOHP may share aggregate statistical information regarding its members, including survey results, with partners or other third parties. In no way will this information be personally identifiable.

Some features of the site may not function properly if use or availability of Unique Identifiers is impaired or disabled.

We receive log file data when you visit our website, use our services, or interact with our email notifications. AOHP may also collect information about you from content you make available in any public or open forum, such as on a social network or even on a digital forum we make available to our users. Please be aware that any content or information you share in these areas is neither private, nor confidential, and becomes public information. AOHP is not responsible for any content or information you post or share with third parties. If you do not wish for certain information to be public, do not share it.

 

Information Sharing

A number of entities may have access to information you provide and we collect about you as needed to offer and operate AOHP's services in the normal course of business. This includes information regarding your use and interaction with our services by:

  • AOHP Personnel.
  • Service Providers, such as website/data hosting; analytics companies.
  • Business Transactions, if AOHP purchases other associations or their assets, sells our business assets, or be involved in a bankruptcy, merger, acquisition, reorganization or sale of assets.
  • Lawful Requests, when we believe that an information request by law enforcement or private litigants meets applicable legal standards; to comply with applicable laws; to protect our interests or property; to prevent fraud or other illegal activity perpetrated through our services; or to protect the safety of any person. This may include sharing information with other companies, lawyers, agents, or government agencies.

AOHP takes reasonable efforts to secure and protect the privacy, accuracy, and reliability of your information and to protect it from loss, misuse, unauthorized access, disclosure, alteration and destruction. We implement security measures as we deem appropriate and consistent with industry standards, but AOHP cannot guarantee the security of our systems or databases, nor can we guarantee that personal information we collect about you will not be breached, intercepted, destroyed, accessed, or otherwise disclosed without authorization. Information we collect about you may be transferred, processed, maintained, and/or accessed by us on computers located outside of your state or country where privacy laws may differ from and may not be as protective as those where you live. You also have a responsibility for keeping your information secure by maintaining the confidentiality of your password and AOHP membership information, and you are fully responsible for all activities that occur under your password or AOHP account. We reserve the right to terminate your access to our services if we learn or suspect you have disclosed your private AOHP account or password information to an unauthorized third party.

 

AOHP strives to ensure that our service providers have implemented proper security measures to effectively safeguard your personal information on our behalf. When collecting personally identifiable information, we use forms protected by industry standard secure sockets layer (SSL) technology, whereby all personal information is encrypted during data transport. Use caution in handling and disclosing your personal information, and usernames and passwords. Due to the Internet's inherent security risks, AOHP cannot guarantee the security of personal information, searches, or other communications. If AOHP becomes aware that a service provider is using or disclosing information improperly, we will take commercially reasonable steps to end or correct such improper use or disclosure.

 

AOHP will retain your personal information as long as necessary for the purpose for which it was collected, and securely destroys/erases personal information when it is no longer required. We may, in some cases, retain some personal information in order to comply with legal obligations, resolve disputes, and enforce our agreements.

Accessing Your Personal Information from AOHP

If you want to view or update your personal information associated with AOHP, contact Headquarters at info@aohp.org to request assistance. We will respond to your request within a reasonable timeframe. For privacy and security, we may take steps to verify your identity before implementing any corrections, deletions, or modifications of information.

 

If you cancel your account, any information that was public prior to cancellation may remain stored on our servers and accessible to the public. Please note that if you choose to delete your information or opt-out of the collection and use of your information, you understand that certain features, including but not limited to access to our services, may no longer be available to you.

 

We may store the information we collect about you indefinitely, but information generally will be retained only for as long as necessary to fulfil the purposes for which the information was collected, or as otherwise required by law. Following the cancellation of your account, AOHP may retain your information and content for a commercially reasonable time for backup, archival, and audit purposes.

 

Opt-Out Services

AOHP provides users with the option to opt-out of receiving certain communications from us. An unsubscribe link is located at the bottom of all announcement and marketing emails that we send. If a customer no longer wishes to receive AOHP newsletters, news, announcements, and promotional email, you may opt-out by following the instructions included in such emails. However, please note you may not opt-out of services-related communications, such as account verification, changes or updates to features of the services, or technical and security notices. We may take up to 10 business days to process your opt-out requests. In some instances, we may have already shared your information with one of our authorized third parties before you changed your information preferences, and you may briefly continue to receive email even after you have opted-out. Federal Trade Commission email compliance guidance allows us to send you transactional and relationship e-mail without offering you the opportunity to opt-out of receiving those types of email.

 

AOHP does not currently employ a process for automatically responding to “Do Not Track” signals sent by web browsers, mobile devices, or other mechanisms. Per industry standards, third parties may be able to collect information, including personal data, about your online activities over time and across different websites or online services when you use AOHP's services. You may opt out of online behavioral ads at http://www.aboutads.info/choices/. You also may limit certain tracking by disabling cookies in your web browser.

 

Website Users in California

Under California Civil Code Section 1798.83 (known as the "Shine the Light" law), AOHP members and customers who are residents of California may request certain information about our disclosure of personal information during the prior calendar year to third parties for their direct marketing purposes. To make such a request, please contact info@aohp.org with "Request for California Privacy Information" on the subject line and in the body of your message. We will comply with your request within thirty (30) days or as otherwise required by the statute. Please be aware that not all information sharing is covered by the "Shine the Light" requirements, and only information on covered sharing will be included in our response.

 

Website Users in the European Union

AOHP advises website users located in the European Union that your personal information may, at times, be accessible by individuals who are located worldwide, including in countries that the European Commission has not determined provide the same level of data protection as in your country. By providing us with your personal information, you are consenting to our use of it in accordance with this Statement of Privacy, including the transfer of your information across international boundaries to jurisdictions anywhere in the world as permitted by local law.

 

In some cases, the United States may not be deemed to have data privacy laws that afford an equal level of protection for your personal information as those laws legislated at the direction of the European Union. Members will be notified via email of material changes to our privacy policy, which will include a "last updated" date at the end of the document. AOHP encourages you to periodically review this statement to be informed of how AOHP is protecting your information. Your continued use of the website and our services constitutes your agreement to this privacy policy and any updates.
